Party planning stress is real. Whether it's your first time organising a children's birthday or your tenth, a clear timeline makes everything calmer and more enjoyable. Here's exactly when to do what.
Six Weeks Before
This is the time for big decisions. Set your budget, choose the theme, decide on the venue (home, hired hall, or activity centre), and settle on a rough guest list size. Four Weeks Before
Send invitations. Digital invitations through WhatsApp groups are perfectly acceptable and save money and time. Include the date, time, venue, any theme details (so guests know if costumes are appropriate), and an RSVP deadline. Book any external entertainment if needed — face painters, magicians, and soft play companies get booked quickly.
Two to Three Weeks Before
Chase RSVPs and finalise your guest numbers. Order or plan the birthday cake — decide whether you're baking or ordering. If baking, confirm which of our animal cake toppers or personalised toppers you're using and make sure it has arrived. Buy or order party bags and party bag fillers.
One Week Before

Two Days Before
Bake the cake (if homemade), prepare any food that can be made in advance, blow up balloons and organise decorations, prepare party bags, and charge any devices you'll use for music or activities.
The Day Before
Decorate the venue, ice the cake and add the topper for a test photo (then store the cake in a cool place), prepare the serving platters and table layout, and lay out everything you need so the morning is calm. Write yourself a checklist of last-minute items.
Morning of the Party
